Addressing Players Who Fail to cancel their reservations so others can play:
As you know, acquiring a court reservation is a challenging undertaking at 7am every morning. Many of you have chosen to have a membership that includes the privilege of reserving 2 courts per paying member of a household per day. We are proposing a 3 step Process for Failure to Cancel Courts in a timely manner.
As of June 2025, Troon Pickleball court cancellation policy will require players to cancel their court/courts 24 hours prior to their court time so that members on the waitlist may have a chance to utilize their court membership.
This 3-step process is as follows:
1. First Offense- A phone call & email from Head Pickleball Pro, making the person whose name is on the reservation know that no one showed up for their reserved court. This communication will act as Warning Number 1. A note will be made on your account with the date, time, number of courts reserved and left unused. (In case 1 of 3 are used) and the location of the courts. Notes will be made on each individual’s account in Court Reserve.
2. The Second Offense, General Manager will contact the offending member letting him or her know that this is the second offense and the next offense will result in a loss of court privileges.
3. Third Offense: General Manager will contact the offending member, letting them know that their court privileges will be suspended for 6 months.
Time Frame: rolling 1 year before resetting member back to zero.
FAQ:
Question 1: What do I do if I can’t cancel my court on Court Reserve?
Answer: Call the Tennis Shop at 910. 477.8500. Ext: 2010. If someone doesn’t answer please leave a message, with your name and courts that you need to cancel. Give us the location, identify the court number or numbers with the time you need to cancel.
Question 2: I get courts for others and will not be playing on the court, will I suffer the consequences?
Answer: Yes. If the reservation is under your name you are responsible for canceling the court if not used. If there are 2 names on the court, both of you will be held accountable.
Question 3: What if the weather looks like rain?
Answer: The weather is unpredictable within St. James. If you will be making alternate plans due to the weather forecast, we expect you to cancel your reservation.
Question 4: But we use Sign-up Genius, Group Me, Team Reach and other Apps, what am I supposed to do if people don’t reply until the last minute?
Answer: You are able to state a deadline for your group to sign up. Players must abide by the sign up deadline that the group leader establishes. If they don’t sign up within 48 hours ahead of time, assume there will not be enough players to fill your reservations and cancel the courts.
Question 5: What if there are extenuating circumstances?
Answer: We understand life happens. Do the best you can to contact your fellow players and see if they will take over the responsibility of getting a sub for you or just playing with 3 players or canceling the court.
